4 ways to automate OnceHub

More than a basic scheduling tool, Oncehub’s features are focused on driving user action. This allows website visitors to schedule one-on-one appointments and book group sessions or events like webinars. In the background, OnceHub qualifies and routes the leads to the right internal stakeholders, like sales, product, or customer success.

But when so much is happening behind the scenes, information can easily get lost on the way to your other tools. Fortunately, you can use Zaps—Zapier’s automated workflows—to add contacts directly into your CRM, track responses in a spreadsheet for later analysis, and even trigger notifications to Slack or Gmail.

If your business relies on OnceHub, you’ll see an immediate improvement in efficiency, speed, and client satisfaction by automating important workflows through Zapier. Here’s how.

New to Zapier? It’s workflow automation software that lets you focus on what matters. Combine user interfaces, data tables, and logic with 6,000+ apps to build and automate anything you can imagine. Sign up for free to use this app, and thousands more, with Zapier.

Send your leads automated emails

If a website visitor books a meeting with you through OnceHub, they’re interested in the value you can offer them. The last thing you want is for this potential customer not to show up because they’ve forgotten—or worse—lost interest. Pushing their details to an email marketing platform allows you to engage with them before and after they attend the meeting.

Ideally, this will increase your chances of converting them into paying customers. The best part is that this is a “build once, sell twice” initiative. Once you have it up and running, your email marketing app will do the hard work for you. This isn’t the only use case, though. Company announcements, product updates, sales emails, and other communication will now reach your warm leads.

Track leads in your CRM

Anyone interacting with OnceHub on your website is likely interested in your product or services and wants to learn more. They’ve shown enough interest to be classified as a warm lead. This means they need to be tracked in a CRM so you can improve sales efficiency and personalize any further communication. On top of this, you’ll want to ensure you log meetings, conversations, and follow-up tasks.

But if you have a large volume of customer interactions, it can be almost impossible to manually track leads, deal stages, or communication. Fortunately, these workflows are easy to set up, and you should see an instant improvement in deal flow and productivity.

Update, store, and analyze your leads in spreadsheets

Sending your leads to a sheet tool like Google Sheets, Excel, or Airtable is incredibly handy. Not only is it cost-effective, it’s super easy to use and analyze. You won’t get the same features with a CRM like HubSpot or Redtail but your use case might not require that.

When you add your booking details to a spreadsheet, you can accurately track new leads and their actions and then take the appropriate next steps. If you want to go a step further, you can create another Zap that will notify you when a new row is populated (more on that later).

Send notifications from OnceHub

This is a must for every business that prides itself on speed and reliability. It’s not uncommon for inbound leads to be followed up late or forgotten about completely. This usually isn’t on purpose but a byproduct of poor visibility and competing priorities.

Triggering instant notifications via Slack or Gmail is the easiest way to stay on top of your inbound leads and act quickly. When a meeting is booked, all relevant stakeholders can be notified immediately. Not only does this increase visibility but there is more accountability for the responsible person to take action.

Increase inbound lead efficiency

OnceHub is an incredible scheduling tool. To get the most out of it though, you need to set up the right workflows. Automating OnceHub with Zapier can send inbound leads to your email marketing platform, track them in your CRM, push them to a sheet tool, trigger notifications, and much more. No matter what you automate, you’ll notice an increase in efficiency, oversight, and—hopefully—revenue!

And this is just the start of what you can do with OnceHub and Zapier. What will you automate first?
